Project Administrator Volunteer

We are looking for a Project Administrator(s) to support our community project. This role will suit an administrator(s) who would like a challenging and busy role with plenty of variety.

What You'll Do: 

This is a part-time volunteering role, with working hours 8 hours that can be shared on a rota basis of 4 hours each, operating on a shared pattern for two applicants Working hours will be 8 hours covering 2-4 shifts per month between the hours of 09:00- 5:00 pm we are flexible on time.

GROAD collects donations at the project’s community hubs and collection services from the community. Donations of pre-loved items such as clothes, shoes, and household goods are redistributed to people and families in need, helping members of the community and diverting items from our city’s landfills. 

 

GROAD facilitates several community projects, such as ‘Open House’, Rough Sleepers, ‘Refugees & Asylum ’, and “Parent & School Drop Off”- an opportunity for schools and families to assist the project with donations, which are then dispersed to individual projects. For all areas needing administrative support to coordinate, we propose two administrators would share the duties.

 

  • Welcoming, registering, and directing service users, stakeholders and community support teams and local authority teams.
  • Processing client data, and responding to emails and communications.
  • Booking and follow-up appointments.
  • Organising and maintaining the project diary/calendar.
  • Managing the confidentiality of all information privacy and GDPR client/user group
  • Undertaking various clerical duties

 

Full training is provided alongside support from the project coordinator.

Our team of volunteers sort and organise accordingly  by volunteers redistribution to our various projects :  

 

Open House – invites people in the community to come and help themselves to items displayed in our library of pre-loved unwanted items, a range from children and adult clothes and shoes, toiletries & personal care, toys and books, household items, small electrical appliances, and small & large furnishing.

 

Rough Sleepers – distribution of essential life items for people living on the streets, regular call-outs to the community for irregular items such as sleeping bags, tents, travel luggage, toiletries, and warm waterproof clothing to make up bags for monthly distributions. 

 

Refugees & Asylum Seekers – supports people and families with of clothing, shoes, toys, and books to refugees and asylum seeker residents in hotels and long-term accommodation in London.  

 

What You'll Learn: 

Supporting a community project which is delivering service-to-service users in need of essential living items, reducing the waste impact to landfill, and being part of an eco-campaign to recycle. Our success comes from the number of donated items received and distributed to various people in need the homeless, vulnerable people and families, refugees & asylum seekers, schools, and community groups.

What We're Looking For: 

 

Hours: Flexible minimum of * 2-4 days a month (role can be shared)

Location: Office based/Community Hub/Working from a distance

Other: Opportunity for students to experience a working project for research/case study opportunities

Subject related: Health & Social Care, Psychology, Mental Health & well-being, Community Care

 

  • Individuals who are highly organised and accurate and work well to tight deadlines
  • Experience in a similar environment would be beneficial but by no means necessary as full training will be provided
  • An excellent communicator
  • Experienced in using an in-house computer software package
  • A team player confident in interacting across a diverse range of people
